Share the details before scheduling
Provide the pickup address, a site contact, approximate tire quantity and the types of tires on hand. Note whether the pile is indoors or outdoors, whether a truck can reach it, and whether there are gate codes or time restrictions.
Large agricultural or specialty tires can require different equipment and planning than passenger tires. Confirm acceptance and handling arrangements in advance instead of assuming every tire type fits every service.
Prepare the staging area
Keep a clear route to the tire pile and move unrelated material away from the loading area. If multiple tire types are stored together, separating them can make the load easier to review and document.
Tell employees who is authorized to meet the driver and answer questions. The service contact should be able to confirm which tires are included and flag any change from the original estimate.
Close out the visit with records
After loading, retain the completed paperwork provided for the pickup and compare it with your internal notes. If the load differs from the estimate, record the reason so purchasing, operations and compliance staff share the same information.
